Remote Proposal Coordinator – Government Contracts
Location: Remote
Employment Type: Full-Time
Salary: $70,000–$85,000
Position Summary
Summit Technologies, Inc. is seeking a detail-oriented Proposal Coordinator to support the development of compliant, high-quality proposals in response to Federal Government solicitations. This role provides day-to-day coordination across the proposal lifecycle, helping proposal managers and cross-functional teams stay organized, on schedule, and aligned with solicitation requirements.
The ideal candidate has strong organizational and document management skills, can manage multiple deadlines, and is comfortable supporting proposal efforts in a fast-paced, deadline-driven environment. This position will also periodically require the individual to perform Proposal Manager duties, particularly on smaller efforts, during peak workload periods, or when coverage is needed.
Key Responsibilities
- Coordinate and support proposal efforts for Federal Government opportunities, including RFPs, RFQs, RFIs, sources sought notices, and task order requests
- Review solicitation documents and develop or support the development of compliance matrices, annotated outlines, and proposal schedules
- Track proposal assignments, action items, milestones, and deadlines, and follow up with contributors to ensure timely completion
- Coordinate data calls and collect inputs from cross-functional teams, including Capture, Pricing, Contracts, HR, Recruiting, Security, Program Management, and Technical SMEs
- Assist with proposal kickoff meetings, status meetings, and internal coordination sessions
- Help prepare draft proposal sections, templates, review packages, and supporting files for proposal managers and volume leads
- Support color team reviews (Pink, Red, Gold, and other internal reviews) by preparing materials, consolidating comments, and tracking resolution of feedback
- Perform document formatting, proofreading, file organization, and version control to support proposal quality and consistency
- Support and help execute production activities, file checks, and final proposal submission through SAM.gov, agency portals, and other required submission platforms
- Maintain proposal templates, content libraries, archives, and lessons learned repositories
- Support broader business development activities, including opportunity tracking, content updates, and proposal readiness tasks
- Work effectively across multiple business development efforts and teams, including proposal managers, capture managers, and program managers
- Periodically lead smaller proposal efforts or provide Proposal Manager support on assigned opportunities, including schedule management, coordination of contributors, review support, and driving proposal progress to submission
Required Qualifications
- 3+ years of experience supporting or coordinating Federal Government proposals, business development, contracts, or related administrative efforts
- Basic knowledge of FAR-based solicitations and the Federal procurement process
- Experience supporting document-heavy, deadline-driven projects with multiple contributors
- Strong organizational, time management, and follow-up skills
- Strong writing, editing, proofreading, and document formatting skills
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook
- Ability to manage multiple assignments in a fast-paced environment
- Strong attention to detail and commitment to producing accurate, well-organized work
- Ability and willingness to periodically assume Proposal Manager responsibilities, as needed, to support business demands
Preferred Qualifications
- Experience supporting proposal efforts for DoD, DHS, or civilian agencies
- Familiarity with proposal compliance matrices, outlines, and review cycles
- Experience with Shipley-based proposal processes
- Experience supporting proposal submissions through SAM.gov or agency-specific portals
- APMP certification (Foundation) or interest in pursuing certification
- Familiarity with SharePoint, Teams, Adobe Acrobat, or proposal content library tools
- Experience independently managing smaller proposal efforts or serving in a lead coordination role through submission
