ESSENTIAL FUNCTIONS, PRIMARY RESPONSIBILITIES AND OBJECTIVES:
The Associate Director of Financial Services Compliance & Processing “Associate Director” is responsible for developing and implementing procedures, reports, and queries to ensure compliance with federal, state, and other aid programs. The Associate Director will serve as the primary compliance contact, oversee the processing of Title IV aid and Satisfactory Academic Progress, and assist with financial aid audit reporting. They will also develop and oversee Financial Aid Consumer Disclosure communications, lead yearly reviews of financial aid configurations, and consult on all student financial services systems.
This position is visible to the entire College community and to the public at all levels and routinely interacts with all constituent groups of the College.
This is primarily a remote position, however, some in-person attendance for training and meetings and the ability to occasionally travel to other locations is required.
ESSENTIAL FUNCTIONS:
1. Serves as the Student Financial Services point of contact and developer for college process within the recruitment and enrollment management tools, including but not limited to Jenzabar, Starfish, and Salesforce.
2. Develops and oversees Financial Aid Consumer Disclosures and all communications in the PowerFaids/Net Partners system.
3. Leads the continuous review of financial aid configurations and testing in PowerFAIDS through building rules and algorithms, updating cost of attendance and budgets, and any new financial aid regulatory changes.
4. Develops and implements procedures, reports, and queries to facilitate these actions for federal and other aid programs to ensure the execution of compliance.
5. Serves as primary compliance contact for all financial services policies and procedures working closely with the Executive Director to ensure accuracy and timeliness.
6. Administers the processing of Title IV (R2T4) calculations.
7. Administers the processing of Satisfactory Academic Progress (SAP)
8. Consult on behalf of the financial services staff and the college community on student financial aid systems, processing, and disbursements, and make recommendations regarding management tools, maintenance, record keeping, and related federal changes and processes.
9. Provide oversite and updates to collections software and third-party providers.
10. Strategically plans, prepares and delivers training sessions on all financial services systems to the department, centers, and other staff as needed.
11. Manages the accuracy of student aid files, authorizes the crediting of aid awards, and processes adjustments to aid awards as needed.
12. Create and run reporting needs of the Student Financial Services Department through all Financial Services systems for the department to review and share with leadership.
13. Updates communications for packaging and notifications for students through PowerFAIDS, Jenzabar, Salesforce, and Starfish.
14. Initiate and conduct follow-up activities to obtain necessary documentation and paperwork for all federal and state funding agencies.
15. Contributes to the yearly financial aid A-133 audit reporting by creating cross-departmental training and developing procedure that will ensure the proper checks and balances to maintain compliance according to the federal government.
16. Assist with the electronic data exchange processes required for receipt and transmission of financial aid data between PowerFAIDS and the Department of Education databases.
17. Resolves discrepancies with financial aid information, explains and enforces federal, state and College policies.
18. Contributes to strategic planning for the SFS department to promote growth and compliance.
19. Remain current in best practices for compliance and systems and train department, leadership and staff on said practices.
20. Represent the interests of Student Financial Services in various interdepartmental meetings and working groups for the college and services as the module manager for student financial services.
21. Performs other duties and responsibilities as assigned.
KEY COMPETENCIES:
1. Strong foundation in financial aid knowledge, including Federal regulations and compliance, awarding, and administering financial aid.
2. Must be in good standing with Title IV loans in order to obtain access to the National Student Loan Data System (NSLDS).

e. Listen carefully, to interpret accurately, and to respond to a high volume of requests
f. Maintain a high level of confidentiality with all aspects of the job duties.
4. Support the College's Mission, particularly in administering the responsibilities of the Department.
5. Excellent interpersonal skills; and the ability to work collaboratively with internal and external customers Must be tactful and diplomatic in handling difficult communications with internal and external clients.
6. Proficiency in Windows operating environment, current Microsoft Office Suite products.
7. Ability to work flexible hours based on the needs of the College. Evenings and weekends may be required in support of events and activities.

Requirements
EDUCATION:
- Bachelor’s Degree with a preferred minimum of 4 years financial aid knowledge in a position with responsibility for processing and providing quality service to students/families in an education environment.
- NASFAA Certified or equivalent combination of education, training, and experience.
EXPERIENCE:
- Minimum of four (4) years’ experience in administering Title IV funding.
- Experience with Customer Relationship Management software (CRM) required, Salesforce a plus, along with knowledge of a Student Information System (SIS), Jenzabar a plus, or comparable platform and the ability to learn and use technologically current applications and other software.
PHYSICAL REQUIREMENTS:
- Position will require the ability to frequently reach, stand, walk, bend, twist, grasp, sit, talk, hear, see, climb and perform repetitive motions.
- Position will require the ability to lift and carry items up to 20 pounds, and push/pull items weighing up to 50 pounds.
